Site Visit: May 28, 2008
This information is provided in response to questions asked at this site visit. Additional information has been added as it has become available.
1. Question: With economic times, how are we planning to deal with the fact that material and construction costs are in a constant state of change and flux?
Answer: We understand that estimated costs are based upon the current market conditions and may change. We also understand that the impact of the change in costs will result in cost estimates that are likely to change when it comes time to build.
2. Question: Do we have a prepared site plan?
Answer: No
3. Question: Have any compaction or foundation tests been conducted and do we have a current Development Order?
Answer: For Geo Tech results for compaction and foundation tests, click here. We do not have a current development order.
4. Question: For the ROM, do we require any other factors to be addressed besides the four that are listed? Do bidders need to provide estimates for Site/Utility Plan or is that not to be considered?
Answer: We require that bidders provide the four factors identified in the RFI. Anything else provided will be considered as additional information.
5. Question: Were storm water drainage and the parking lot considered in the Master Plan?
Answer: Yes
6. Question: Because of the generalized information in the SOW, you are likely to receive estimates that are higher than expected. If you move forward and find that our estimates fall short of your budget, are you prepared to scale back the scope, size, style, etc in order to continue?
Answer: Yes
7. Question: Should bidders include engineering costs into their estimates or should that be assumed to be provided?
Answer: Please include your engineering and design costs as shown on the Bid Sheet.
8. Question: Should certain things such as FFE, Site Prep, permitting, etc. be considered in the estimates?
Answer: This should be a turn-key operation. We will provide furnishings for the facility.
9. Question: How will the questions asked today be handled and is there a formal process to submit further questions?

10. Question: Are we planning to make general conditions to cut down to five or so bidders and then request further information and/or conduct interviews to make a final selection?
Answer: That is one possible approach. Depending on what the review of responses to the RFI reveals, we may decide to resubmit a scaled down RFI to all, or proceed directly to a full RFP to all or to only a select number of bidders.
11. Question: Were traffic studies and surveys included in the site approval for the Master Plan?
Answer: We assume not.
12. Question: Have we done any due diligence in terms of site preparation, soil compaction, testing, studies, and surveys?
Answer: No
13. Question: Do we have copies of Wetland Permits?
Answer: Yes. A hard copy can be viewed at the church, by appointment.
14. Question: Can bidders be provided with a copy of the Wetland Permits?
Answer: Yes
15. Question: Do we have “as built” drawings of the current site and can they be provided electronically?
Answer: Yes, we have "as built drawings" however they cannot be provided electronically.
16. Question: Was the current facility built on pylons or some other foundational support?
Answer: We do not know. We will see if we can find out and provide that information.
17. Question: Can we provide the name of the architect/contractor for the current facility?

18. Question: Can we establish a standard assumption for all bidders to work with for all of the “big unknown” conditions?
Answer: We will look into that possibility, in particular where the site preparation issues are concerned.
19. Question: Can we send out pictures of the existing facility?
Answer: We can send them out electronically and they are posted on our website for all to access.
20. Question: How do we bid the foundation without knowing the soil conditions?

21. Question: Can we have an extension on the submission date?
22. Question: Can we get a copy of the existing building plans?
23. Question: Can we get the name of the architect and engineer firm that did the existing building design?
24. Question: Please provide more detail on what is required in the Kitchen area.
25. Question: Please clarify the ceiling immediately above the basketball court.
